Using File Storage
The file storage component of the collaboration site is the central repository of files for the project. Wire Frames, images and documentation related to a project can be uploaded onto file storage where registered users can access them. It is basically Windows Explorer on the web.
Some of the more prominent features of file storage include:
- Versioning. Users can upload multiple versions of a file. Versions of a file are tracked by file storage. Old versions of a file can be deleted or downloaded.
- Notifications. The system provides a means to notify registered users whenever a new file is uploaded onto file storage.
- Download Contents. File storage also provides a neat feature that allows users to conveniently download the entire contents of a folder/directory into a compressed tar gzip file.
Adding a New File
- In the file storage subsite of your project collaboration site, find and click on the “Add File” link.
- In the succeeding screen, click the Browse form button and choose a file from inside your local computer that you want uploaded to the site.
- Provide a title and Description
- Click Ok
Create URL
Instead of uploading files onto file storage, users can also create a URL that points to the content on a website that the user would like to share.
- In the file storage subsite of your project collaboration site, find and click on the “Create URL” link.
- In the succeeding screen, provide a title, the URL and a short description.
- Click “Create”
Adding a New Version of A file
File storage keeps track of the versions of a particular file. This is particularly useful if you would like to be able to keep track of changes you made to a particular document in file storage.
- In the file storage subsite of your project collaboration site, click on the “Properties” link of the file you would like to add a version of.
- Click the Upload Revision Link.
- In the succeeding screen, click the Browse form button and choose a file from inside your local computer that you want uploaded to the site as the new version for the file you chose.
- Edit the title and description if necessary.
- Click Ok
File Related Actions
Just like in windows explorer, File Storage allows users to Copy, Move and Delete file items.
- In the file storage subsite of your project collaboration site, put a check by clicking the checkboxes of the files you want moved, deleted or copied.
- Find and click either the Move, Delete or Copy links depending on what you want to do with the file.
Delete Version
Users can also delete versions of a file in file storage
- In the file storage subsite of your project collaboration site, click on the “Properties” link of a file.
- Click the “Delete Version” link of the version you would like removed or deleted.
Notification
To be notified of uploads just click on the “Request Notification” link and choose how you would like to be notified.
Download Archive
To download a compressed archive file of the contents of file storage, click “Download an archive of the contents of this folder” link.
