Renaming a file


Overview

AJAXFS is a content repository/file-storage package with an AJAX User Interface. Images, documents, and other related files may be uploaded to the file storage where registered users can access them. It is similar in concept to Windows Explorer where files are organized in collapsible directories beginning from the root directory to the subdirectories.

 

Some of the prominent features that make AJAXFS beneficial to users include:

  • Versioning.  Users may upload multiple versions of a file into the file storage. AJAXFS keeps track of new as well as old versions of a file, which may either be deleted or downloaded by a registered user.

  • Notifications.  AJAXFS allows registered users to be notified or informed every time a file has been uploaded to the file storage.

  • Content Downloading.  The file storage also provides registered users the means to conveniently download or acquire a copy of a file.

  • Tagging.  AJAXFS also provides registered users the means to tag or classify files into different categories.

Using AJAXFS

Upon entry of a valid user name and password, the registered user will be brought to the Home page. Click on the FILES link to go to AJAXFS.

One of the prominent features of AJAXFS is allowing registered users to be notified or informed every time a file has been uploaded to the file storage.

  1. From the note "You may request notification for Files" found just below the Directory and Display section of your page, click the REQUEST NOTIFICATION link.  You will be directed to the NOTIFICATION PAGE where you will be asked to your preferred notification interval.

  2. From the drop-down list, select INSTANT, HOURLY, or DAILY. Choose INSTANT, if you prefer instant notification, HOURLY, if you want to get notifications every hour, or DAILY, if you prefer to receive notifications on a daily basis.
  3. Click OK to continue. 
  4. If you have previously requested notifications, the message beneath the Directory and Display section of your web page will be "You have requested notification for Files. You may unsubscribe." Click the UNSUBSCRIBE link if you want to stop receiving notifications.

Creating a new folder

  1. From the Files page, click on the CREATE A NEW FOLDER link. A new folder will appear in the subdirectory.
  2. Label the folder. By default, each new folder will be named as New Folder so you have have more than one New Folder in your root directory. However, several new folders created successively inside the same folder without specific labels will be named as New Folder 1, New Folder 2 and so on. This avoids confusion in locating specific files or folders later on. (see image above)
  3. To create a subfolder, click the specific folder where you want to create the new one into.
  4. Label the subfolder.
  5. Note that labeling a folder or a subfolder with an already existing name or label prompts the message "Please enter a different name. The name you entered is already being used."
  6. To rename a folder or subfolder, go to the specific folder and click on the name. The old name will be highlighted to allow you to type over the new name.

Adding a file

  1. To add a file onto the file storage, from the Files page, click the ADD FILE link. An Add File window opens and takes you to the next step.



  2. Click the BROWSE button and from your local directory, select the file you want to add or upload to the file storage. Selecting the file takes you back to the Add File window where you should see the file name you have selected.
  3. Indicate a Title. Note that this is optional.
  4. Specify if the file you are about to add is a zip file by ticking a mark on the check box.
  5. You can specify multiple files for upload by clicking the BROWSE button again and selecting another file.
  6. You can delete a file from the upload list by clicking on the Delete icon next to the filename.
  7. Click the UPLOAD button. This button is only enabled when there is a file or files selected for upload. Otherwise, this button is disabled by default.
  8. To cancel, click CLOSE.

Viewing contents of a folder

To view the files contained in a folder, simply click any folder displayed on the upper left box or display section of your web page. This action displays in the right section all files contained in the selected folder. Note also that subfolders within a folder may also be displayed in the display section of your web page.

Creating a URL

Registered users may conveniently share files or contents of a file with other users without the need to upload them onto the file storage. Instead, simply create a URL that points to the content on the website.
  1. To create a URL, from the Files page, click on the CREATE A URL link. This action opens the Create URL window that prompts you to enter relevant data.



  2. Indicate the Title, URL, and Description.  Title and URL are required.  The network protocol "http://" has already been provided for you. Thus, specify only the domain name where the content is located.
  3. Click OK to continue or CANCEL to abort.

Deleting a folder

  1. To delete a folder, select the specific folder and click the DELETE link. A message prompts you to confirm deletion of the folder.
  2. Click Yes to continue or NO to cancel.
  3. The same procedure follows for subfolders. Note, however, that there is another way to delete subfolders, that is, to right-click the subfolder displayed on the right or display section of your web page and then select DELETE.  Selecting DELETE displays the message "This folder contains n items. Are you sure you want to delete the folder?"
  4. Click YES to continue deleting the file. Otherwise, click NO to cancel.

Download Archive

To download the contents of file storage into an archive or a compressed tar gzip file, click the DOWNLOAD ARCHIVE link.

Renaming a file

  1. To change the name of a file, right-click on the file and select RENAME. A message prompts you to specify the new name of the file.

  2. Type the new name.
  3. Click OK to continue or CANCEL to abort renaming.

­Downloading a file­

One of the prominent features of file storage is the file download. This allows registered users to conveniently acquire a copy of a file.

  1. To download, right-click on the file from the right display section of your web page and select DOWNLOAD. This opens another window which brings you to the next step.
  2. You may either open the file immediately to be able to view the contents before saving it later on or you may immediately save it to your local folder or directory. To open the file, select or put a mark on the OPEN WITH radio-button. Otherwise, save it immediately to your local directory by selecting SAVE TO DISK.
  3. Selecting the SAVE TO DISK option further prompts you to specify the local directory where you want to save the file. Specify the local folder or directory to which you want to save the file. You may also check or correct the file name before saving the file. Click OK to continue or CANCEL to abort.
  4. Note that the DOWNLOAD option will only be available if you right-click on the file. Right-clicking on a folder will not give you an option to download.



  5. After specifying necessary inputs, click SAVE to continue or CANCEL to abort downloading.

Tagging a file

Another notable feature of AJAXFS is the tagging feature. This allows registered users to categorize or classify a file into one or more categories. For instance, file Test.doc may be tagged in "testing" and "word documents" at the same time. This means this file has been classified into 2 categories. Each category may also have one or more files tagged as such.  For instance, the category "testing" may contain Test.doc and Testfiles.xls. This means that 2 different files have been classified under one category, though these are of different file types.

  1. To tag a file, right-click on the file and select TAG. This selection prompts you to specify one or more categories into which you want to classify the file.
  2. Click OK to continue or CANCEL to abort tagging.
  3. Note that the TAG option is only available when you right-click on the file. Right-clicking on a folder will not give you the option to tag.
  4. Note also that on the Tags section, the selected category is highlighted or seen in bold letters. This may serve as a reminder to the user that he is in that category. Again, the corresponding files classified in the selected category are displayed on the right section of your web page.

­Tagging other object­s

­Aside from files, images, and other file types, different types of objects can also be tagged with the same tags. For instance, bookmarks, blog posts, and forum messages can be categorized with the same tags. Though these objects are of different types, they can be tagged under the same category. These objects as well as the tags under which they are categorized are displayed on the Homepage.

From the Homepage, click a tag. This displays on the right section all objects associated with this tag.

Uploading a revision­

One of the prominent features of AJAXFS is versioning wherein is users may revise a file and upload a new version or multiple versions into file storage. AJAXFS is able to keep track of the old and new versions which may be especially useful if you want to keep track of the changes or revisions made to a particular file.

  1. To upload a new version, right-click on the file and select PROPERTIES. This opens another window which displays the following details:

    Title.  The name or title of the selected file.
    Author. 
    The author or creator of the selected file.

    Size.
      The size of the selected file in kilobytes.

    Type.  The file type which may be a Microsoft Word, Microsoft Excel, Microsoft Powerpoint, an image and so on.
    Last Modified.
      The most recent date and time the selected file was modified.
    Version Notes.
    Other relevant notes to consider about the version of the selected file.

  2. Click the UPLOAD REVISION link. This brings you to the next step which prompts to specify data inputs.

  3. Specify the file you want to upload by clicking the BROWSE button and selecting the file from your local directory or folder.
  4. You may consider the same Title or change it.
  5. Specify also a Description.
  6. You may consider checking for errors in spelling. Click the drop-down menu and select AMERICAN. Otherwise, indicate NO, which is the default entry.
  7. Click OK to continue.

An alternative for renaming a file

Another way to rename a file is from the PROPERTIES VIEW. To do this,

  1. Right-click on the file and select PROPERTIES. This brings you to the window shown in Step 1 of Uploading a revision.
  2. Click on the RENAME FILE link and specify the new file name.
  3. Click the CHANGE NAME button to proceed.

Copying a file

  1. To copy a file to another folder, right-click on the file and select PROPERTIES. This brings you again to the PROPERTIES VIEW as seen on Step 1 of Uploading A Revision.
  2. Click the COPY FILE link. This further prompts you to specify the folder into which you want to put the copied file.
  3. Select and click the destination folder to continue.
  4. As soon as the page is loaded, you should be able to view from the display section of your web page the file copied into the selected folder.

Moving a file

  1. To move a file to another folder, right-click on the file and select PROPERTIES. Again, you will be directed to the PROPERTIES VIEW
  2. Click the MOVE FILE link. This further prompts you to specify the destination folder.
  3. Select and click the destination folder.

Deleting a file

  1. To delete a file, from the display section of your web page, right-click on the file and select DELETE. A message will prompt you to confirm deletion of the file.
  2. Click YES to confirm. Otherwise, click NO to cancel.
  3. If you are coming from the PROPERTIES VIEW, you may also delete a file from this page. To do this, simply click on the DELETE FILE link. You will be prompted to confirm deletion with the message "Are you sure you want to delete this file and all of its versions? This action cannot be reversed."
  4. Click OK to continue or CANCEL to abort.

Deleting Versions

  1. To delete a version of a file, from the PROPERTIES VIEW, simply click the DELETE VERSION link. You will be prompted to confirm deletion with the message "Are you sure you want to delete this version? This action cannot be reversed."
  2. Click OK to continue or CANCEL to abort.

Copy Link

AJAXFS allows you to copy the link of the selected file to your clipboard. To do this,

  1. Simply right-click on the file and select COPY LINK. You will be prompted with the message "Copy the highlighted text to your clipboard."
  2. Click OK to continue.

Advanced Features

AJAXFS also presents some Advanced Features which, though not necessarily used on a day to day basis, may be occasionally beneficial to registered users.

Views

Registered users are able to view relevant information about a selected file. To do this, right-click on a file and select VIEWS.  AJAXFS opens another page to display the following details:

Object Info.  Contains the author or creator of the file and the date the most recent modification was made.
Mail Sent Regarding This Object.  Any mail or email sent out that is associated with the selected file.
Users Who Viewed This Object.  Registered users who have viewed the selected file and the corresponding date each user viewed it.
This Object Belongs To. Contains the tags or categories into which the file is classified.
Child Objects.  Displays the child objects of the selected file.

Setting File Permissions­

Setting or granting permissions to a file is restricted to the administrator or to administrator accounts. Thus, if you or your account does not have administrator rights, then you will not be allowed to set permissions.

Note that this procedure is only for the use of the administrator or those given administrator rights to their accounts.

  1. To set permissions, from the display section of your web page, right-click on a file and select PERMISSIONS. This brings you to the PERMISSIONS VIEW where users accessing the selected file as well as the rights given to each user are shown.

  2. Each user may be given specific rights such as READ, CREATE, WRITE, ADMIN, and REMOVE ALL. Simply mark the check box that corresponds to the rights you want to grant each user.
  3. To grant specific file permissions to a user, click the GRANT PERMISSION link which directs you to another page where you can specify distinct file permissions to a specific user.

    From the first column, select the permission to grant. On the second field, indicate the user to whom you want to grant the permission then, click OK.
  4. Notice that upon clicking the OK button, the second field becomes a drop-down field list where you can select the specific user to grant the permission. Select a user then, click OK again. You will be directed back to the PERMISSIONS VIEW where the permissions you have specified to the user should be reflected.
  5. Note that if the user you have specified in Step 4 is already listed in the table displayed on the PERMISSIONS VIEW, you should only notice the additional permission given to him. However, if the user is not yet listed, automatically that user will be added to the list or table with the corresponding permissions given to him.
  6. To search for existing users, click the SEARCH FOR AN EXISTING USER link. You will be directed to the ADD USER page which lists all users and their email addresses.

    Click ADD to add the user to the list or table in PERMISSIONS VIEW. Note that only users not yet listed on the table will be displayed on the ADD USER page. Thus, if a user is already listed, his name will no longer appear on the ADD USER page.
  7. Note also that newly added users will have READ permissions by default.
  8. The INHERIT/DO NOT INHERIT FROM [PARENT] link is used if you want the selected file to inherit or not inherit permissions from its parent. If the link displayed is INHERIT FROM [PARENT], you may click this link if you want the file to have the same permissions as its parent. Otherwise, if DO NOT INHERIT FROM [PARENT] is shown, click this link if you do not want the selected file to have the same permissions as its parent.
  9. Click CONFIRM to validate the changes or additions in granting permissions.
  10. Note that if you are coming from the PROPERTIES VIEW, as seen in Step 1 of Uploading A Revision, you may go straight to PERMISSIONS page by clicking the SET PERMISSIONS link.

Accessibili­ty­

­Gaining access to AJAXFS may vary depending on the browser you are using.  If your browser does not support AJAX (Asynchronous Javascript And XML) or, perhaps, the javascript is turned off or disabled on your browser, an old file storage without the AJAX User Interface will be displayed on your screen.

­To check if your browser supports javascript or if javascript is enabled, you may check the following procedures:

On Internet Explorer Version 7.0

  1. On your web browser, go to TOOLS and select INTERNET OPTIONS

  2. Go to the SECURITY tab and click CUSTOM LEVEL



  3. Scroll down to SCRIPTING and check if ACTIVE SCRIPTING is enabled or disabled. Disabling ACTIVE SCRIPTING will turn off javascript. Thus, displaying the old user interface without AJAX. Enabling it will allow you to use AJAXFS.



  4. Click OK to save or CANCEL to abort changes.
  1. On your web browser, go to TOOLS and select OPTIONS

  2. Go to CONTENTS and check if the option ENABLE JAVASCRIPT is marked. Disabling this option will turn off JavaScript, thus, displaying the old user interface without AJAX. Marking this option will enable JavaScript and allow you to use AJAXFS.



  3. Click OK to continue or CANCEL to abort changes.
