Bulk User Creation Steps and Behavior
In starting a new Compass Workshop, 2 steps are actually involved:
- Creation and customization of the actual class
- Uploading of users and adding them to class
This section covers the second step which involves Bulk User Creation. The following steps are observed in the creation of the users:
- Log on to http://www.lnwprogram.org.
- When you have logged on successfully, go to the class url http://www.lnwprogram.org/<class_url>/. Note that you should replace "class_url" with the url you mounted the class on.
- Click on Manage members located in the gray bar at the bottom of the page. You may need to scroll down to find this link.
- Click on Users Bulk Upload.
- Upon clicking Users Bulk Upload, you will be brought to another page where additional instructions are noted.
- You may create several users at once using a correctly formatted CSV (comma-separated values) file. You may create a spreadsheet using the CSV file format stated on the page and save this spreadsheet as a CSV file. Note that the first line of your CSV file must have the header, as follows:
first_names,last_name,email,username
- First_names, last_name, and email are required fields. Only the username is optional as it may be generated by the system. The default value of the username is generated with the following formula: first name initial + last name. The system is smart enough to continue extracting letters from the first name until it finds a unique username.
- Once you have created your CSV file, locate this file from your local directory, then click Upload. This will further display results of your upload.
The results are displayed with further explanation. Rows with possible errors, duplicate users, existing accounts, and new users will be noted.
Looking at the results shown in the image above, it is noted that Row 7 generated a username that is being used by another user. To resolve this, mark the check box that contains the new username generated by the system for the user account in Row 7. The system will prompt you with a message when the check box is not marked.
Rows 1 and 2 have been identified to contain existing accounts while rows 3, 4, 5, 6 are rows that will create new users.
- Click Proceed to continue. This further brings you to another page informing you that bulk user upload is in-progress.
- Click members management to proceed. This will bring you back to the Members Management page where all users are displayed. Note that the new users should already be added and displayed here.
- When you have verified that the new users have been added, you then need to inform them on how to log in to the site. To do this you select the users you wish to send the welcome email to and click on Send Welcome Email. If several users are displayed, you may need to scroll down to find the link.
- Clicking Send Welcome Email will bring you to the next page which shows the form for sending welcome emails.
Use this form for sending welcome emails. Recipient's name, or the entry for the To field, has already been provided for you with reference to the user you have selected in the Members Management page. The entry for the From field, or the sender's email, should be your email address or the email of whichever user is logged in. The body of the email has also already been provided for reference. It basically informs the user about their user name and further instructs them to reset their password, if they are logging on to the site for the first time. You may review and edit or adjust the contents, if needed.
- As soon as you have completed your entries and made your adjustments, click OK to proceed and bring you back to the Members Management page.
- The user, on the other hand, should be able to receive the welcome email containing his/her user name. As the welcome email instructs, the user, if logging on for the first time, should enter his/her user name and then click Reset your Password. He/she should then receive an email containing the randomly assigned password with a link to log in. Clicking the link will provide him the opportunity to reset his/her password to something he/she prefers.
