Adding One User

  1. Go to Site Admin and click Users.
  2. Then click Create A New User.



  3. Input the User's information.
  4. The options on the next screen, Add a User page, are not critical for this system. By default, Access Level is set to "Full Access" and the Guest to "No".  Leave the default entries as is.
  5. User Type is optional.


  6. You may now edit the email that will be sent to the user.


  7. Once you have added the user you can follow the directions below to search for them, and add them to a group.

Bulk Adding Users to a Class

Create a Welcome Message

  1. The first step before uploading students to the class is to create the email that will be sent to all users when they are joined to a class.  To do this, go to Group Admin and click Edit or Create Welcome Message.


  2. An email will be sent to everyone who joins this class. The same email is sent to new users and to users who have previously taken classes.  This is probably the simplest for most Compass Classes.



  3. As soon as you are through, you may send yourself a test email.

Creating Accounts for a New Class

  1. To populate a class in general you upload a CSV (Comma Separated Values) file of names and email addresses.
  2. From the Users Administration page, click Bulk Upload.



  3. On the next page you will upload a CSV file.  It is best to create the file in Excel then save it in CSV format. It is crucial that the first row has the exact spelling and format listed on the page. For KSG we suggest you use only the required fields and take the defaults for the other.

    The first line must be exactly like this:

    first_names, last_name, email, type

  • Type:  Use student.
  • User name:  We suggest that you let  the system create an automatic user name. This allows the system to notify you if it is likely that a person is a duplicate account and allow you to change your CSV file or create a new record.
  • Notify:  This is usually set to "f". If you set Notify to "t", new users (and only new users) will get an email with their password and a general welcome to the site. If Notify is set to "f", then new users will not get the general Compass Welcome Email.
The following is the content of the email that is sent if Notify = "t". The usual procedure for KSG is to set Notify to 'f' and then send an email via the “Welcome Message" as described below.

Checking that an upload file is correct

After you upload your CSV file, the system will provide some feedback then ask for confirmation.

 Your users will be divided into 4 groups:

  1. Rows with errors.  Some sort of issue exists with this data in this row.
  2. Rows that may be duplicate users.  Please look through these carefully to avoid creating duplicate accounts for people.  If it is actually a different person, click Proceed.  If it is a different email account for an existing person, fix either the CSV or the account so that the emails match.  No individual should have more than one account on the system and the system can currently handle only one email per person at any given time. If this row is actually new, a different person who happens to have a similar name, please check the check box and proceed.
  3. Rows with existing accounts.  These people already have accounts.  You will be able to add them to the class in the next step.
  4. Rows that will create new users.  For most KSG classes, most of your students will fall into this category.

Adding Bulk Uploaded Users to a Class

After you upload the CSV you will have a page with status. Some of the users will likely already exist. This is fine. Click Add These Users to Group and that will add both the new and existing users to the class.


Choose the new class


All the users from your CSV are now in the class. If you created and enabled the welcome email then they have all been sent that email.

If there is a problem you can re-run this entire process.  If you have notify=”f”, it is safe to run exactly the same CSV file twice. If a user has already been created, the system does not recreate them. If a user is already in the group it will not send the email again.

­Searching f­or Users

­ ­You can use the quick search on the main user administration page (http://systemname.edu/dotlrn/admin/users) or click Search Users for advanced options.  The quick search will search the users’ names and email address.


 

Advanced search gives you a number of options. One useful feature is you can see who has logged in recently or has not logged in for a long period of time with the option Number of days since last visit.

Administration Options for One Specific User

 

If you click on one user’s name you will be taken to the administration page shown here. From here you have many options. Here are some highlights:

  • Change the user’s email address
  • Change a user’s name

In addition there are special administrative options:


These options allow you to:

  • Make this person a Site Wide Admin that has full rights to the system.
  • Change a user’s password. Note there is no way for an admin to find out about a user’s current password. The only option is change it.
  • Log in as this user. You do not need to know their password to do this. This is extremely useful for debugging issues that user’s report.

­User log in problems

Find the user’s detail page as shown above and take note of the following:
  1. Confirm that they are using the correct email address.
  2. Confirm that the account is a member of the class they are trying to access.
  3. Use Update Users Password to change the password to something easy to remember.
  4. Try to log in with you as the user using the new password.
  5. Request the user to try to log in again.
  6. If the user succeeds, remind them to change their password.
  7. If they still have problems, request them to try to log in using another computer.
  8. If there are still issues, please submit a ticket with full details.
